Q: Are you running state in Discoverer reports to see what folks are running so you can ensure main data needs are met? I use Discoverer for my account reconciliation. Are BBA’s and E&P detail reports going to be migrated to the new system?
A: We have pulled detailed Discoverer usage statistics and are using this information as an early guide to determine the key data relationships used in existing reports. We will be creating the frequently used reports from Discoverer in the new toolset. We have also heard from many users that a key gap today is integrating data across the different modules of the Integrated System so we will be focused on building those connections between the data as well.
Q: Data is informative, but is not all when making a good decision that stands over time. How will UBI going to allow and make that part?
A: In conjunction with the Data Dictionary, we will capture and create Business Process Model diagrams, including recommendations for best practices. Clarity in the meaning of terms and standard procedures should help people make effective decisions in unfamiliar situations.
Q: What criteria will determine whether a particular data set will be included in the “core” data warehouse vs existing in school/departmental "shadow" systems?
A: The user community (as represented by the Working Group) will guide our decisions as to what data should be housed in the core data warehouse as well as prioritize when it gets addressed. We will likely address data sets which are used broadly but multiple schools/departments before addressing more unique needs.
Q: Will Managerial Reporting include student inquiry and admission data from Hobsons CRM and Apply Yourself?
A: This data has been flagged by several schools as a need; it should be included at some point, howeve,r the exact prioritization and timing of this will be determined as the project progresses.
Q: We have a huge limitation in getting accurate grant data. Would grant reporting be a big part of this project? Will the GAS info from OSP be involved in this project?
A: Grant Reporting has been identified as one of the needs. We will work with Subject Matter Experts (SMEs) to understand reporting requirements and deliver the necessary information. If there are data quality or process issues those will have to be addressed in parallel.
Q: Validation of data to be valid or reasonable instead of just well informed. Example: Hire Date Year of 0210 instead of 2010.
A: In general this type of error-handling is standard functionality for any ETL/Data Warehousing process. It does require a determination of which fields to evaluate, what valid values for that filed may be, and how to handle invalid values. Thus far, working with the Data Strategy Committee, we have implemented this type of error-handling in the Expenditure Item Comments to “mask” potential Social Security Numbers and Credit Card Numbers.
